An Excel workbook with one row per student: what they still owed and what credit they still held when the year closed.

Where the final account statements give one student's full detail, this gives every student's bottom line on a single sheet. It's the fastest way to produce a collections list, hand the treasurer a closing position, or see what's carrying into the new year.

The columns

Column What it holds
Student User ID The student's myblueboard ID — matches id in Account Data
Student First and last name
Grade Grade level at close-out. Blank if none was recorded
Unpaid Fees Each unpaid fee on its own line, as amount - fee name
Total Available Credits Credit earned minus credit spent

Reading it

Every student gets a row, including graduates and non-returners, and including students who owed nothing — an empty Unpaid Fees cell means they were clear.

Unpaid Fees is a multi-line cell. A student owing three fees has three lines in one cell, each naming the fee and the amount. Widen the row height in Excel to see them all. This is the one place in the end-of-year files where fees appear by name rather than by ID.

Unpaid Fees covers only the year being closed. Anything unpaid from an earlier year isn't counted here. The final account statements show a student's complete history.

Total Available Credits is the closing balance, already worked out — earned credit minus credit spent, with discounts excluded. Returning students carry this figure into the new year.
