Final account statements

When a school year closes, myblueboard saves a final account statement for every student — a frozen copy of their account exactly as it stood at that moment.

This is the record to reach for when a family disputes an old balance, when a graduate needs proof they paid, or when you're settling what carried over into the new year.

What a statement contains

The same picture as Financials → Statements shows for the current year:

  • Every fee assigned to the student, and whether it was paid
  • The payments recorded against those fees
  • Credit earned, credit used, and credit still available
  • The totals: what was owed and what was left over

One statement per student. A student with nothing on their account still gets one.

Where to find them

For a student still in myblueboard

  1. Open Financials → Statements.
  2. Find and select the student.
  3. Scroll past the current statement to Previous Years' Statements.
  4. Open the school year you need.
  5. Select View to read it in myblueboard, or Download to save the file.

Each year is a collapsible section listing, per student, the unpaid total and credits available as they stood at year end. That summary is often all you need — you don't have to open the statement to answer "did they owe anything".

This needs Financials Access or Accept Payments — the same permissions as the Statements page itself.

For a graduate or a student who didn't return

Those accounts are removed from myblueboard when the year closes, so they no longer appear under Financials → Statements. Their statements are still saved:

  1. Open Admin Tasks → End-of-Year Reports.
  2. Select the tab for the school year the student left.
  3. Under Other Files, find final_account_statements/ and the student's file.
  4. Select the download icon beside it.

Files are named <student ID>_<Last name>_<First name>.html, sorted by file name, so scrolling to a surname works. The student ID prefix keeps two students with the same name from colliding.

This needs Admin Access.

For the family themselves

Parents and students read their own past statements from myAccount, on the website and in the mobile app — no need to send them anything. See Viewing past statements.

Parents see every student currently linked to them, including school years before the link was made. A parent who joined the family account late still gets the earlier history.

Working with a downloaded statement

Statements download as web page files (.html). Open one in any browser. For a PDF, open it and use the browser's Print → Save as PDF.

The file name depends on where you downloaded it from:

End-of-Year Reports <year>_<student ID>_<Last>_<First>.html

Things worth knowing

"Not recorded" instead of a total. Statements saved by early end-of-year runs pre-date the summary figures, so the unpaid and credit columns show Not recorded. The statement itself is complete — open it and read the totals there.

The statement doesn't change when you fix something afterwards. It's a snapshot of the year as it closed. Corrections made later live on the current year's account, not in the archive.

Amounts are always shown to two decimal places when you view a statement in myblueboard, even in older files that stored them differently. A downloaded file is the original, untouched.
