Using the End-of-Year Reports page

End-of-Year Reports is the archive of everything myblueboard saved when past school years were closed out.

Opening the page

  1. Select the grid icon in the top-right corner of myblueboard.
  2. Choose Admin Tasks.
  3. Find the End-of-Year Reports card and select View.

The page requires Admin Access. If you don't have it, ask a Full Director to grant it — see Granting access.

Choosing a school year

Each school year that has been closed out gets its own tab across the top, most recent first. The number beside the year is how many files were saved that year.

Select a tab to see that year's files. Nothing loads from another year until you switch tabs.

The dataset cards

Six datasets appear as cards, each showing its file size:

Account Data Every account in myblueboard
Credits Credit added to student accounts
Credits Used Credit applied to fees and payments
Invoices Payments recorded against fees
Fee Assignments Which student owed which fee
myShop Orders The store's order history

A card marked Not available means that file wasn't saved for that year — usually because the year predates that part of myblueboard, or the export didn't run.

Viewing a dataset on screen

Select View on any card. myblueboard opens the file and displays it as a table, with the column headings from the file across the top and the row count at the bottom.

This is a read-only preview. Nothing you do here changes the file.

Very large files take a moment to load, and a full year of accounts or orders is easier to work with in a spreadsheet — use Download CSV at the bottom of the preview.

Downloading a dataset

Select the download icon beside View, or Download CSV inside the preview.

Files download as CSV, named with the school year in front — for example 2025-26_accounts_data.csv. Open them in Excel, Numbers or Google Sheets.

Other Files

Below the cards, Other Files lists everything else saved for that year, with its size:

  • Final account statements — one .html file per student, inside final_account_statements/. See Final account statements.
  • myShop receipts — one .html receipt per online order, inside myshop_receipts/. See myShop Orders.
  • myShop order items — myshop_order_items_export.csv, the individual products on each order.
  • The fees summary spreadsheet — an .xlsx file named after your school and the year. See Fees summary spreadsheet.

These are download only — there's no on-screen preview for them. Select the download icon beside a file name. HTML files open in any browser; use the browser's Print → Save as PDF when you need a PDF.

Because a year with several hundred students produces several hundred statement files, the list can be long. It's sorted by file name, and statements are named <student ID>_<Last>_<First>.html, so scrolling to a surname works.

How values are formatted

The same conventions apply to every CSV on this page:

You'll see It means
1 or 0 in a Yes/No column 1 is yes, 0 is no
An empty cell No value was recorded
05/14/2026 A date
05/14/2026, 03:22:41 A date and time. The clock is 12-hour with no AM/PM, so 03:22 may be afternoon
125.00 An amount in dollars, always to two decimal places

Amounts have no currency symbol, so spreadsheets treat them as numbers and totals work straight away.

If the page shows an error

An error message in place of the year tabs means myblueboard couldn't reach the storage where the files are kept. Nothing has been lost — contact myblueboard support and we'll sort it out.

If no years are listed

"No EOY reports found" means no school year has been closed out through the End-of-Year process yet. The files are created the first time you complete it.
