Importing Accounts¶
Importing is how you get a roster into myblueboard without creating accounts one at a time. Find it under Admin Access → Helpful Scripts → Import Accounts.
The important thing to know up front: uploading your file does not create anyone. It reads the file and checks it, and you get to fix problems before any account exists.
Step 1 — Upload¶
Pick a CSV file — a spreadsheet saved as comma-separated values — containing the people you want to add. For a School subscription that's Students, Parents and Directors; for a Community subscription, Members.
Step 2 — Review¶
You land on a Review page showing every row as an editable table.
- Every column becomes a box you can type into
- Cells with problems are highlighted in red, with a short message explaining what's wrong ("email must be a valid email address", "grade must be one of 4, 5, 6, … 12")
- Each row shows Valid in green or the number of issues in red
Step 3 — Fix problems in place¶
Correct the red cells directly on the page. No downloading, fixing in Excel, and re-uploading.
Step 4 — Re-check¶
Select Review Data. Everything is re-validated and the table refreshes — fixed rows turn green, remaining problems stay flagged with updated explanations.
Repeat as many times as you need until every row is Valid.
Your progress is saved
If you get interrupted — close the tab, get pulled into a meeting — you can come back and pick up where you left off, for about three days. After that an unfinished import is cleaned up automatically.
Step 5 — Confirm and import¶
Confirm & Import stays greyed out until every row is valid.
Before importing, decide about the checkbox: "Send new users a welcome email with a set-password link." It is off by default.
- On — every new account gets an email inviting them to set a password and sign in
- Off — nothing is sent, and you'll need to tell people how to get in another way
Turn it on when you're importing people who should start using myblueboard now. Leave it off when you're loading a roster ahead of time and want to announce it yourself — a welcome email arriving three weeks before anyone mentions myblueboard generates confused replies.
Selecting Confirm & Import is the point where accounts are actually created. Existing accounts matched by the import are updated rather than duplicated, and parent–student relationships are linked automatically.
Step 6 — Confirmation¶
You get a summary email listing how many accounts were created, updated and unchanged.
Exporting accounts¶
Use an export when you need a copy of the accounts currently in myblueboard, such as before making roster changes or when preparing a spreadsheet for another system.
- Open Admin Access → Helpful Scripts.
- Under Export Accounts, select Export.
- Open or save the downloaded
mybb_account_export.csvfile in your spreadsheet app.
The export includes all of your organization's accounts. For schools, that includes Directors, Students, and Parents. It uses the same general format as an import file, so it is a useful starting point when you need to update many accounts at once.
Practical advice¶
- Import a handful first. Five rows through the whole flow tells you your columns are right before you process four hundred
- Get emails right. They're how people sign in and how password resets reach them
- Import students before parents where you can, so links resolve cleanly
- Keep the source spreadsheet. It's your record of what you loaded and when
