Account Types and Access¶
Almost every "why can't they see this?" question comes down to account type and access groups. This page explains both.
Two kinds of subscription¶
School subscriptions have three kinds of people: Directors, Students and Parents. Students belong to sections and grade levels; parents link to their students.
Community subscriptions have Members instead, organized into sections and groups, with permissions granted individually.
Which one you have was set when your organization was created.
Directors come in two kinds¶
This is the distinction that causes the most confusion, and it is not visible from the job title.
Full Directors receive every access group automatically the moment their account is created. They can reach everything.
Staff Directors receive only the groups you assign by hand. A brand-new Staff Director can sign in and see almost nothing until you grant access.
A Staff Director seeing nothing is working as designed
If a new director says features are missing, check whether they're a Staff Director before assuming something is broken. They need groups granted explicitly — see Granting access.
The distinction exists so you can give someone a director account — an assistant, a booster volunteer, a student teacher — without handing over the whole system.
Access groups¶
Access is granted by group, not by job title. Each group unlocks one area:
| Group | Unlocks |
|---|---|
| Admin Access | Full administrative access |
| Financials Access | Financial settings and payment processor setup |
| Accounts Access | Account balances and credits |
| Attendance Access | Attendance tracking |
| myShop Admin Access | Store setup, orders, dashboard |
| myForms Admin Access | Building and managing forms |
| myTickets Admin Access | Events and ticketing |
| myChat Admin Access | Chat administration |
| myReports Admin Access | Reporting |
| Files Admin Access | Shared file management |
| Librarian Access | The digital library |
| Inventory Full Access | Inventory management |
Available groups depend on which myblueboard apps your subscription includes.
Granting Admin Access grants everything
Admin Access is not one permission among many — granting it assigns all the other groups at once. Removing it takes them all back.
Grant it only to people who should genuinely have full control. For everything else, grant the specific group.
Parents and students¶
Parents see their linked students' information — balances, statements, forms, purchases. Parents can also be granted access groups, which is how a booster parent gets to run myShop without being made a director.
Students see their own information.
Neither can see other families' data.
Working out why someone can't see something¶
In order:
- What type is the account? Parent, student, director, member.
- If a director — Full or Staff? Staff Directors need groups granted.
- Which group does that feature need? The table above.
- Do they have it? Check on the elevated access page.
- Have they signed out and back in? Access changes may not appear until the next sign-in.
