myFiles¶
myFiles is shared storage for your program — sheet music, forms, handbooks, trip itineraries, anything families need to get hold of.
Open it from myFiles in the left sidebar.
Who can see what¶
Everyone signed in can see every file
myFiles has no per-folder permissions. Any signed-in member of your organization — students and parents included — can browse every folder and download every file.
Managing files is restricted, but viewing is not. Don't put anything confidential in myFiles: no rosters with personal details, no financial records, no medical information, nothing about an individual student.

Files Admin Access is granted like any other group — see Granting access. Full Directors have it automatically.
Creating a folder¶
Folders come first. Files live inside them, so create the folder before you upload.
- Select + Folder.
- Enter a name.
- Select Add.
Folders can be nested — open one and create another inside it.
A structure worth copying, because it survives a change of director:

Organize by what a family is looking for, not by when you uploaded it. "Forms" is findable; "August" is not.
Uploading files¶
- Open the folder you want the files in.
- Select Upload.
- Choose your files — you can select several at once in the file picker.
There's no drag and drop
Files have to be chosen through the Upload button and the file picker. Dragging files onto the page does nothing.
The page reloads when the upload finishes. On a slow connection a large upload takes a while with no progress bar, so give it time rather than pressing Upload again.
Opening files¶
Select a file and it opens in a new browser tab.
What happens next is up to your browser, not myblueboard: PDFs and images usually display, while Word and Excel files usually download. That's why the same file can open on one device and download on another.
If nothing happens when you select a file, check your popup blocker
Files open in a new tab, and popup blockers sometimes stop that — particularly in Safari and Chrome. Allowing popups for your myblueboard address fixes it.
This is the most common "myFiles isn't working" report, and it's a browser setting rather than a problem with your account.
Download links are generated when you select a file and are valid for about an hour. Copying a file's link and sending it to someone won't work for long — point them at myFiles instead.
Deleting¶
Files Admin Access can delete files and folders.
Deleting a folder deletes everything in it
Removing a folder removes every file inside it, with no confirmation of what's about to go and no way to recover it afterwards. There's no recycle bin.
Open a folder and check its contents before deleting it.
On a phone¶
myFiles works in a phone browser. The Size and Last Modified columns are hidden on small screens to keep the file names readable — everything else behaves the same.
Practical advice¶
- Name files for the person looking for them.

- Replace rather than accumulate. Three versions of the handbook means someone reads the wrong one — delete the old one when you upload the new
- Announce new files. Nothing notifies anyone about an upload. Pair it with an email or a chat message
- Clear out each season. Last year's trip folder is next year's confusion
