Sending email

Email goes out from myMessenger → Send Email.

Who can send

Sending requires the send emails permission.

Directors have it by default. Parents and other accounts do not — a director grants it per person by editing that account and checking Send emails from mybb.

This is deliberate. Email from myblueboard goes out under your organization's name to your whole roster, so the ability to send it is granted individually rather than inherited from a group.

Self-registered parents never receive it automatically

A parent who signs up themselves is created without send access, regardless of any groups they're in. It has to be granted deliberately.

Emailing a group

  1. Open myMessenger → Send Email.
  2. Check the groups you want to reach — student groups, parent groups, or community groups.
  3. Enter a subject.
  4. Write your message.
  5. Send.

Parents are added automatically

When you email a student group, the parents connected to those students are included automatically. You don't need to select a parent group as well.

That's usually what you want, and it's occasionally not — a message meant only for students still reaches every parent. If it's genuinely student-only, say so in the message, because you can't exclude the parents from a student group send.

Directors who are members of a selected group are also included.

Which groups reach whom

A parent connected to two students in the same group receives one email, not two.

Emailing one person

From Accounts, open the student, parent or director and use the Email option on their record. Same composer, one recipient.

Use this for anything specific to one family. A group send about one student's balance is a mistake you can't take back.

Banners

You can put your organization's banner at the top of outgoing email.

Upload it in School Settings under Email Banner, then tick Use Banner when composing. Around 300 × 75 pixels works well — much larger and it dominates the message on a phone.

Banners make email recognizable at a glance, which matters when families are deciding whether to open it.

Attachments

Attach files to a message — permission slips, itineraries, music.

Select multiple files at once when you need several. A few things worth knowing:

  • Large attachments hurt deliverability. A 20 MB PDF is more likely to bounce or land in spam than a link to the same file
  • Consider a link instead for anything big or anything you'll update. A link stays current; an attachment is a snapshot
  • PDF is safest. Word and Pages documents don't always open the way you intended on a phone

Writing email people actually read

  • Put the action in the subject. "Permission slip due Friday" beats "Important information"
  • Lead with what you need. Families read the first two lines on a lock screen
  • One message, one topic. A trip deadline buried under three other announcements gets missed
  • Send from a person, not the organization where you can — replies go somewhere sensible

Custom fonts

Not currently supported. Messages use myblueboard's standard formatting, which is also what keeps them readable across every mail app your families use.
