Email delivery and logs

myMessenger → Email Logs shows what happened to the email you sent. It's the first place to look when someone says they didn't get something.

Access needs the same send emails permission as sending.

The suppression list

When an address repeatedly bounces or someone marks your mail as spam, it goes on a suppression list and myblueboard stops sending to it. This protects your organization's ability to reach everyone else — mail providers penalise senders who keep mailing dead addresses.

A suppressed address silently receives nothing. Nobody is told, which is why families occasionally say "I never get any emails from you" while your send log looks fine.

You can clear a suppressed address yourself

Email Logs shows which of your accounts are suppressed, and lets you remove an address from the list directly. You don't need to contact myblueboard support for this.

Fix the underlying problem first — a corrected address, or the family whitelisting sender@myblueboard.com — or it will simply be suppressed again.

Why a message didn't arrive

Hard bounce — the address doesn't exist. Almost always a typo or an old school address. Correct it on the account.

Soft bounce — the mailbox exists but couldn't take the message right then, usually because it's full. Ask them to clear space and to add sender@myblueboard.com to their contacts.

Domain error (NXDOMAIN) — the part after the @ doesn't exist. A misspelled domain: gmial.com, yaho.com. Correct it.

Address not found at the provider — Gmail and similar reporting no such account. Same fix: correct the address.

Temporary service problem — the receiving server closed the connection. Try again later; nothing is wrong on your side.

Suppressed — see above.

Getting your email delivered

The single most effective thing you can tell families: add sender@myblueboard.com to your contacts. Everything myblueboard sends comes from that address.

Worth doing at the start of each season:

  • Ask families to check the address on their account — old work and school addresses are the most common cause of silent failure
  • Review the suppression list and work through it once, rather than discovering it when someone misses a deadline
  • Watch for a whole domain failing. If several families at the same district address stop receiving, that's their mail filter, not myblueboard, and it needs their IT team

Removing someone from group email

Some people should stay on the roster but not receive group email — a second guardian who asked not to be contacted, or a family who prefers one point of contact.

Edit their account and check Remove from emails. They keep their account and everything else; group sends skip them.

This is the right tool for "please stop emailing me". Deleting the account or wiping the address loses information you need.

Direct email still reaches them

Remove from emails applies to group sends. Emailing that person individually still works — which is usually correct, but worth knowing if someone asked for no contact at all.
